Online Digital Return Form for Leased Vehicles

The return of leased vehicles is a key component of fleet management—and at the same time, a process involving many stakeholders, interfaces, and manual steps. Especially when dealing with large volumes of vehicles, delays, additional costs, and a lack of transparency can quickly arise.

In collaboration with its client TÜV Süd, new direction GmbH has specifically refined this process and created a digital solution for online deregistration that makes the entire process significantly more efficient.

The Problem

In the traditional vehicle deregistration process, vehicles often had to be deregistered with a delay or manually. This resulted in insurance premiums and taxes continuing to accrue even though the vehicles were no longer in use. Especially for large fleets, these inefficiencies quickly added up to a significant cost factor.

Furthermore, there was a lack of end-to-end digital integration into the existing process. The deregistration was not seamlessly linked to the inspection and subsequent steps, resulting in media breaks and a loss of transparency.

The challenge was to create a solution that integrates into the existing workflow, accelerates the process, and simultaneously meets the highest standards of reliability and standardization.

The Solution

new direction GmbH developed a digital online deregistration process that is directly integrated into the return process for leased vehicles. At the heart of the solution is a custom-developed tool that acts as an interface to the systems of the relevant registration authorities and enables fully digital processing.

The deregistration process is initiated immediately during the vehicle inspection. Relevant data is captured in a structured manner and transmitted digitally, ensuring that deregistration is completed in the shortest possible time. Confirmation is then provided automatically and can be directly incorporated into subsequent processes.

A particular focus was placed on not altering the existing workflow, but rather on expanding it in a targeted manner. The solution integrates seamlessly into the existing process landscape while enabling flexible further processing of license plates and documents—depending on customer requirements.

Thanks to its consistent focus on scalability and standardization, the solution is particularly well-suited for large fleets and ensures consistently high process quality even at high volumes.

Value Enhancement

The new digital solution has significantly accelerated the return process. Vehicles are deregistered within minutes, thereby avoiding unnecessary insurance and tax costs.

Furthermore, integration into the overall process ensures significantly greater transparency. The status of each vehicle can be tracked at any time, and subsequent steps can be initiated without delay.

For TÜV Süd and the fleet operators it serves, this means more efficient processing, reduced costs, and noticeably improved control over the entire return process.

The project demonstrates how even established processes can be sustainably optimized through targeted digitalization and intelligent integration into existing systems.
